Create Room Events in Google Calendar

Create room events in Google Calendar that will automatically sync to Kadence.

Kadence uses your company’s Google Calendar room resources as the source of truth for room bookings. As long as the event is set up correctly in Google Calendar, it will appear in Kadence shortly after.

Before you start

To successfully sync a room booking from Google Calendar to Kadence:

  • Your company must have Google Calendar integrated with Kadence

  • The meeting room must be a Google Calendar room resource that is connected to Kadence

If you’re unsure whether rooms are synced, check with your Kadence admin.


Create a room booking in Google Calendar

Step 1: Create a new event

  • Open Google Calendar

  • Click Create (or click directly on the calendar)

  • Add your event title

  • Set the date and time


Step 2: Add the room as the location

This step is required for the booking to sync to Kadence.

  • Click Add location

  • Search for and select the meeting room from the list

  • Make sure the room shows as available and is added to the event

If the room is not added as the location, the booking will not appear in Kadence.


Step 3: Confirm you are the organiser

  • Ensure the event has an organiser (usually you by default)

  • Events without an organiser will not sync to Kadence

If you’re editing an event created by someone else, confirm the organiser still exists and has a mailbox.


Step 4: Add attendees (optional)

  • Add internal or external attendees as needed

  • Attendees are optional and do not affect syncing to Kadence


Step 5: Save the event

  • Click Save

  • Accept the prompt to send invitations if needed

That’s it. Your room booking will sync to Kadence automatically.


What happens in Kadence?

Once synced, you’ll see the booking in Kadence with:

  • The room reserved for the correct time

  • The meeting title and details (if Kadence has access to the organiser’s calendar)

  • The booking reflected in Offices, Live Office, and Insights

If the event is edited or cancelled in Google Calendar, Kadence will update accordingly.


Common issues and troubleshooting

My room booking is not showing in Kadence

Check the following:

  • The room is added as the location, not just in the description

  • The event has an organiser

  • The room is a Google Calendar resource that’s connected to Kadence

If everything looks correct and it’s still not syncing, contact your Kadence admin.


My booking shows as “Busy” or “Meeting information unavailable”

This happens when Kadence does not have permission to read the organiser’s calendar.

The booking will still appear, but:

  • Title may show as “Busy”

  • Description may be unavailable

To avoid this, create the booking directly in Kadence or ensure calendar access is configured by your admin.


Can I book rooms directly in Kadence instead?

Yes. If your company has room booking enabled in Kadence, you can create room bookings directly in the app. Kadence will then create and manage the Google Calendar event for you.
