Booking Credits FAQ

Everything you need to know about booking credits in Kadence — what they are, how they work, and what happens when you cancel or reach your limit.

What are booking credits?

Booking credits limit how many bookings you can make within a set time period (day, week, or month). They're designed to reduce no-shows and ensure fair access to resources for everyone in your organisation.

Credits help to:

  • Prevent speculative bookings

  • Encourage intentional use of resources like desks and rooms

  • Ensure fair access for all users

Credits are defined per resource type (e.g. desks, meeting rooms) and per time period — your admin sets these limits per building.


How many credits do I get?

Credit limits are set by your Kadence admin and can vary by building and resource type. If you're unsure how many credits you have, reach out to one of your Kadence admins for help.


Where can I see my credit balance?

Your credit balance is visible on the New Booking page, underneath the building's opening hours when you're making a booking.


What happens if I reach my credit limit?

If you've used all your credits for the period, here are your options:

  • Book at a different building that has available credits

  • Make a booking during the free booking window, if one has been set up

  • Cancel a future booking in advance to free up a credit

  • Wait for your credits to reset — the reset date is shown in the building view


What is a free booking window?

A free booking window is a same-day time slot during which you can make bookings without using any credits. It typically starts a set number of hours before the building opens and runs until the building closes.

If you're unsure whether your building has a free booking window, check with your Kadence admin.


Do assigned desk bookings use credits?

No — if you have an assigned desk, bookings for that desk do not count against your booking credits.


Do guest bookings use my credits?

No — when you invite a guest, their booking does not count against your personal credit limit.


If I book on someone else's behalf, whose credits are used?

The invitee's credits are used, not the person making the booking.


Do I get my credits back if I cancel?

Yes, in most cases — credits are returned when you cancel a booking in advance. However, there are two exceptions:

  • If your booking is auto-cancelled because you didn't check in, your credit is not returned.

  • If you cancel a booking that was made within the free booking window, credits are not refunded (as no credit was used in the first place).


Are admins affected by booking credits?

No — Global Admins and Coordinator users are exempt from booking credit restrictions.
