When someone leaves your organization, Move Manager helps you schedule their desk unassignment and line up a replacement — all ahead of their departure date.
Step 1: Find your leavers in the Queue
In the Leavers section of the Queue, Move Manager lists upcoming departures from your HRIS, sorted by urgency. Click into a leaver to see their name, team, leaving date, and current desk — including name, neighborhood, floor, and any assignment note.
Step 2: Vacate the desk
Open a leaver from the Queue and click Vacate. The effective date is pre-filled with their leaving date from HRIS — you can override it if needed. Once scheduled:
The desk continues to show the leaver as the current assignee until the effective date.
It appears in the Available Soon filter in the inventory panel if the unassignment is within 28 days.
The desk is marked with a calendar icon on the floor plan.
To process several leavers at once, use Vacate all from the kebab menu at the top of the Leavers section. Move Manager stages a Vacate transaction for each leaver with their own leaving date. Review the staged session before finalizing.
Step 3: Spot soon-to-become-free desks
Desks with a scheduled unassignment within the next 28 days are marked with a calendar icon on the floor plan. Use the Available Soon filter in the inventory panel for a list view — useful when planning replacements.
Step 4: Pre-assign a replacement
To pre-assign someone to a soon-to-become-free desk:
Click the desk on the floor plan to open the desk detail panel.
Click Assign and search for the person you want.
If they already have a desk elsewhere, Move Manager will ask whether to keep their current desk and add this one, or move them from one to the other.
Set the effective date to match the leaver's departure date (or any date after it).
Optionally add an assignment note, then confirm.
The desk will show both states on the floor plan: the leaver as current assignee until their departure date, and the new assignee from that date.
You can also work from the Needs a Desk section of the Queue. Use Recommend to choose from suggested desks, or Auto assign to let Move Manager place them with their team. Use Auto-assign all from the kebab menu to seat everyone in the section at once — anyone without a team mapped or whose team neighborhood is full is skipped and stays in the Queue.
Step 5: Finalize your changes
When ready, finalize. Move Manager applies the scheduled unassignment(s) and any pre-assignments, notifies each affected person by email, and updates the floor plan and Queue.
Good to know
You can unassign without a replacement — schedule the unassignment and leave the desk empty until you're ready.
Same-day departures still work. The existing Active Directory integration will remove them from Kadence and unassign the desk automatically — Move Manager doesn't change this behavior.
