When a team grows, contracts, or needs to move, Move Manager lets you reassign the team to a different neighborhood and move everyone's individual desks in a single workflow.
When to use this workflow
Use this when a team is moving from one neighborhood to another, or being assigned to a neighborhood for the first time. For moves involving just one or two people, the ad-hoc desk assignment workflow is faster.
Step 1: Open the target neighborhood
Navigate to the floor where the new neighborhood lives. Click the neighborhood on the floor plan to open the neighborhood detail panel, which shows the currently assigned team (if any), the number of desks, current desk assignments, and any pending future team assignment.
Step 2: Assign the team
In the Team section of the neighborhood panel, click the + icon. Search for and select the team. Choose whether the assignment is effective immediately or on a future date. For a planned reshuffle, you'll usually want a future date so people have time to prepare.
Step 3: Handle the team's existing neighborhood
If the team is already associated with a neighborhood elsewhere in the same building, Move Manager will ask:
Keep current neighborhood β the team is associated with both. People keep their existing desks; reassign individually using an ad-hoc assignment if needed.
Move team β the team's association with the old neighborhood ends. Move Manager then shows a second confirmation listing all affected team members whose desk assignments will end on the effective date. Those people will surface in the Queue to be reseated.
Step 4: Auto-fill desks
Once the team is assigned to its new neighborhood, click Auto-fill desks. Move Manager stages an assignment for every unseated team member to a free desk in the new neighborhood. The results show:
Filled β who was placed and which desk they've been given.
Skipped β anyone who couldn't be seated because there weren't enough free desks. They stay in the Needs a Desk section of the Queue.
Review the staged session before completing. You can adjust individual desk choices or remove suggestions you don't want.
Step 5: Finalize
Once confirmed, Move Manager will:
Schedule the team's neighborhood assignment to change on the effective date.
Schedule each affected team member's desk unassignment on the same date.
Apply the Auto-fill desk assignments.
Notify each affected person by email.
Update the floor plan to reflect the pending changes.
If any team members were skipped during Auto-fill, finish reseating them from the Needs a Desk section of the Queue using Recommend, Auto assign, or an ad-hoc assignment.
