How to Create and Configure Resources

Resources in Kadence represent any bookable space or tool your team can reserve — from desks and meeting rooms to lockers and parking spots.

This article uses desks as the main example, but the same steps apply to all resource types:

  • Desks

  • Private Offices

  • Meeting Rooms

  • Pods

  • Parking

  • Lockers

Where functionality differs per resource type, we’ve highlighted those differences.


Prerequisites

To manage resources, you must be at least a Coordinator, Building, or Global admin in Kadence.


Create a New Resource

To add a resource (e.g. desk) to your floor:

  1. Navigate to Buildings in the left-hand menu

  2. Select the building and floor where you'd like to add the resource

  3. Click Add (top right), then select the resource type (e.g. Desk, Room, Parking)

You’ll now see the create form, where you can:

  • Name the resource (e.g. Desk 101)

  • Upload a photo of the resource (Optional)

  • Enable/disable booking for the resource

  • Set a capacity for the resource (Available only for Rooms or Pods)

  • Add/remove amenities (e.g. monitor, standing desk, whiteboard). See this guide on how to create or configure amenities in Kadence.

  • Once you’re happy with your selections, click Add to create the resource.

For Desks, Private Offices, Lockers, and Parking resources you will be brought to a second page where you can:

  • Toggle Restrict Access to On to assign the resource to specific users (Optional)

  • Search and select the user(s) you would like to assign to the desk

  • Enable "Make public on unassigned days" so others can book it if not already assigned or if a booking is cancelled

You can give multiple users access to book the same resource themselves, or assign a user to specific day(s) so Kadence automatically reserves it for them

Resource access

Once you’re happy with your selections, click Save or Save & add another to create the resource or additional resources of the same type.


Update the visual representation of an existing floorplan

To update the visual layout of a floorplan (e.g. new resource placements), email the revised plan to [email protected].

Our design team will turn around most change requests within 3 business days from submission date.


Edit an Existing Resource

To update a resource:

  1. Go to Buildings → Select a building → Floor

  2. Find the resource and click the kebab menu (⋮)

  3. Select Edit Resource

Here you can:

  • Update the resource name

  • Upload or change the photo

  • Toggle bookable status on/off

  • Add/remove amenities

  • Manage user access and assignments (Not available for Rooms or Pods)

For Desks, Private Offices, Lockers, and Parking resources you can click Restrict Access. Toggle Restrict Access to On to assign the resource to specific users (Optional)

  • Search and select the user(s) you would like to assign to the desk

  • Enable "Make public on unassigned days" so others can book it if not already assigned or if a booking is cancelled

You can give multiple users access to book the same resource themselves, or assign a user to specific day(s) so Kadence automatically reserves it for them

Once you're happy with your changes, click Save.


Delete a Resource

If a resource is no longer needed:

  1. Navigate to Buildings → Building → Floor

  2. Click the kebab menu (⋮) next to the resource

  3. Select Delete Resource

  4. Confirm your choice in the prompt

Deleting a resource will permanently remove it and all associated data from Kadence, including booking history. To pull a CSV report before deletion, follow this guide.


Frequently Asked Questions

Can I make a specific resource unbookable by all employees?

Yes, when you toggle Allow booking OFF no users in Kadence will be able to create bookings for that resource.

Can I assign resources to employees?

Yes, you can assign resource types desks, private offices, parking, and lockers to specific users through the create or edit resource pages. When editing, you will need to click the Restrict access header.
