When setting up Directory Sync with Kadence, attribute mapping controls how users, groups, teams, and profile photos are provisioned from your directory into Kadence.

This guide covers:

  • Required attribute mappings for users and groups

  • Syncing user profile photos using the profile_photo_url attribute

All mappings are managed through Entra ID and WorkOS, which Kadence uses to provision directory data.


Prerequisites

  • You must be a Global Admin in Kadence

  • You must have an Entra ID directory sync enabled with Kadence


Attribute Mapping Basics (Users and Groups)

During directory sync setup, you will be prompted to configure attribute mappings.

The default mappings created by Azure can be used as long as:

  • objectId is mapped to externalId

This ensures Kadence can correctly identify and manage users and groups over time.


Syncing User Profile Photos from Your Directory

Why sync profile photos?

Syncing directory photos helps you:

  • Maintain consistent user identity across tools

  • Make bookings, schedules, and events more personal

  • Avoid manual photo uploads in Kadence

How it works

Kadence uses the custom attribute profile_photo_url to pull a publicly accessible image URL from your directory and display it as the user’s profile photo.


Configure Entra ID (Azure AD)

  1. Go to Enterprise Applications

  2. Select your Kadence SCIM application

  3. Navigate to Provisioning → Mappings

  4. Add a new attribute for profile_photo_url

  5. Use a direct mapping from the directory field that contains the photo URL

  6. Click Save to trigger a sync


Configure WorkOS

For new customers

  • Follow Step 4 of the Entra ID directory sync setup

  • Map your directory photo field to profile_photo_url

For existing customers

  1. Navigate to Settings → Integrations

  2. Click the kebab menu next to your directory sync

  3. Select View Directory Sync

Updates can take up to 24 hours to appear in Kadence.


Tips for using profile_photo_url

Supported formats

  • JPG / JPEG only

Updating photos

  • When the photo URL changes in your directory, the new image syncs automatically on the next provisioning cycle

Fallback behaviour

  • If no photo URL is provided:

    • Kadence shows user initials

    • Users can still upload a photo manually


Profile Photo FAQs

Can I sync photos and teams at the same time?

Yes. Just ensure both profile_photo_url and kadence_teams are mapped.

What happens when a user leaves the company?

Once deactivated in your directory, their profile photo will no longer appear in Kadence.
