Kadence's HR integration keeps your people data in sync with your HR system so you spend less time on manual updates and more time on the work that matters. Once connected, Kadence automatically picks up new starters before their first day, flags leavers ahead of their last, and updates colleagues' working status when they're off on annual leave or sick.
Before you start
Your account needs to be on a WorkOps Pro plan with the HR integration enabled. If you don't see the option in your settings, get in touch with your Kadence representative or contact [email protected].
You'll need to be a Global Admin to connect, configure, or disconnect the integration.

Connect your HR system
Connecting takes a couple of minutes. You'll authorize Kadence to read employee data from your HR system, then we'll take care of the rest in the background.
Head to Settings and select Integrations.
In the side menu, choose HR Integration.
Pick your HR system from the tiles. If yours isn't shown, click Other Integration to browse the full list of supported platforms.
Click Add and follow the prompts to authorize Kadence with your HR system. The exact steps depend on your provider — you may be redirected to sign in, or asked for an API key.
Once authorized, you'll be taken straight to the building mapping step.
Map your HR work locations to Kadence buildings
This is the one-time step that tells Kadence where your people sit. New starters from your HR system will only be synced into a Kadence building you've mapped — everyone else is filtered out by default.
Review the suggested matches. We auto-match locations by address so you don't have to start from scratch. Auto-matched rows are flagged so you can spot-check them.
Fill in the gaps. For any Kadence building still showing Select a location, choose the matching work location from your HR system.
Skip buildings you don't want to map. If a Kadence building has no HR equivalent (or vice versa), just leave it blank — it'll be ignored.
Save your mapping when you're happy. You can come back any time from Settings > Integrations > HR Integration to update mappings — useful when you open a new office.
View users whose locations aren't mapped
From Settings > Integrations > HR Integration, you can view a list of new starters whose work locations aren't mapped to a Kadence building. This is useful if you're expecting a new starter in Kadence but can't find them.
You can either update their work location in your HR system or turn on Sync employees at unmapped location (below) to bring them in regardless.
Sync employees at unmapped locations
Want every new starter in your HR system to show up in Kadence, even if they're not at a building you've mapped? Flip the Sync employees at unmapped location toggle on. These users won't have an assigned building and will appear in the move management queue for every building.
This is useful if your HR system doesn't pass a work location for some employees, or if you want maximum visibility regardless of mapping.
The toggle is off by default so you stay in control of who gets pulled in.
Disconnect or reconfigure the integration
You can disconnect the integration at any time from the same settings page.
Existing user records stay in Kadence (we don't delete data) but no further sync will run.
To switch to a different HR provider, disconnect the existing one first, then add the new one.

Additional cost may apply (†): ADP Workforce Now, Employment Hero. Other systems with paid API requirements include Abacus, DATEV (HR, LAUDS, LODAS, Lohn & Gehalt), HR4YOU, Mirus, Paycom, and Silae. These may carry an extra cost depending on the provider.

Possibly. Kadence matches on email. If your HR system has a different email to your AD/SSO provider, you may end up with two records that need to be merged manually. Keeping email consistent between systems is the best way to avoid this.

Kadence stores synced employee data in the region your account is hosted in (US or EU).

Yes. Disconnecting stops the sync but keeps all existing user records and history in Kadence.
