Your working status and leave in Kadence

Understand how your leave and working status are automatically managed in Kadence when your company uses an HR integration — and what you can adjust yourself.

If your company has connected an HR system to Kadence, a lot happens automatically on your behalf. This guide explains what to expect when you're off, how your status is managed, and what you can adjust yourself.


Your Kadence status automatically updates when you're off

You don't need to tell Kadence when you're on leave. Approved leave from your HR system — annual leave, sick days, jury duty, volunteering, bereavement — automatically shows up as Not working in Kadence for the right dates and times.

This means:

  • Your colleagues see at a glance that you're off, in the My starred colleagues widget and across the rest of Kadence.

  • Any desk bookings you had during your leave are canceled or trimmed automatically, so you're not holding space you won't use.

  • Any room bookings stay put — we don't want to cancel a meeting on behalf of everyone else attending. You can handle this manually if needed.

  • Cancellation and edit emails include a friendly note explaining why the change happened.

Kadence rolls all leave types into a single Not working status. There's no public distinction between vacation, sick leave, or any other type — just that you're not working.


Set multiple statuses in a single day

Real days aren't always one thing. You might be working remotely in the morning, in the office in the afternoon, or off for a half-day appointment. Kadence supports as many status blocks as you need per day.

  1. From your Home page, click the status for the day you want to update.

  2. The default is All day with one status. To split your day, click Add other time block.

  3. Pick a start time, an end time, and the status that applies to that block — Office, Remote, or Not working.

  4. Add as many time blocks as you need — the smallest unit is 15 minutes.

  5. Hit Save.

Multiple statuses per day

Edit a status that came from your HR system

You can fine-tune any Not working block that's been synced from your HR system. For example, if your HR system has you booked off all day but you'd like to finish at lunchtime, just edit the end time on the Not working block.

Your edit stays put — the next sync won't overwrite it unless the original leave entry changes in your HR system. If the leave gets canceled or deleted in your HR system, your status reverts to your default for that day and we'll nudge you to book a space if you'd planned to be in the office.


Good to know

  • Bank holidays aren't synced unless your HR system records them as individual leave entries.

  • Room bookings are never canceled automatically — if you have a meeting during your leave that needs canceling or reassigning, you'll need to handle that yourself.

  • Your leave reason stays private. Colleagues only see that you're not working — not why. All leave types show the same Not working status in Kadence.


FAQs

Can I still set my own "Not working" status if the HR integration is on?

Yes. You can set or edit a Not working status in Kadence at any time, even when leave is also synced from your HR system. This is useful for part-time employees who want to set their own non-working days, or for anyone who needs to tweak the timing of a synced leave entry.

Can my colleagues see why I'm off?

No. All leave types — vacation, sick, jury duty, volunteering, and others — show as Not working in Kadence. The reason stays private in your HR system.

Why was my desk booking canceled?

If a desk booking was canceled automatically, it's likely because approved leave from your HR system covers that date. You'll have received an email explaining the change. If you believe this was an error, check your leave in your HR system or speak to your HR team.

What if my leave in Kadence doesn't match what's in my HR system?

For many providers, leave data syncs near real-time. For others, it syncs overnight. If your leave still doesn't look right after 24 hours, reach out to your Kadence admin or HR team to check that your leave has been approved in your HR system.
