Checking In as a Visitor

How to check in and check out at a Kadence VMS Kiosk — by email, QR code, or as a walk-in visitor.

When you arrive at a Kadence-enabled building, you can check in at the Kiosk using your email address or the QR code from your booking confirmation. No app download or pre-registration is needed.


Checking in at the Kiosk

You have two ways to check in — use whichever is most convenient.

Check in via email

  1. Tap Check in on the Kiosk home screen

  2. Enter your email address

  3. Select your booking from the list and follow the on-screen steps

  4. Your host is notified automatically once check-in is complete

Check in via QR code

Your booking confirmation and reminder emails include a QR code for a faster check-in experience. Look for it near the bottom of your email.

  1. Tap Check in on the Kiosk home screen

  2. Select Check in via QR Code

  3. The Kiosk's front-facing camera will open with a guidance overlay

  4. Hold your phone screen up to the camera so the QR code is visible

  5. Your booking is retrieved automatically — continue through the normal check-in steps

If the QR code can't be read or no matching booking is found, the Kiosk will show a "No Results Found" screen. You can retry the scan or fall back to email check-in at any time.


Checking in as a walk-in visitor

No booking? No problem — if your building has walk-in check-ins enabled, you can create a booking on the spot and check in immediately.

  1. Tap Check in and enter your email address (or scan your QR code)

  2. If no booking is found, a Create booking option will appear — tap it

  3. Enter your name and email address

  4. Search for and select your host from the list

  5. Your booking is created and check-in completes immediately — your host is notified right away

The Create booking option is only available if an admin has enabled walk-ins for this Kiosk, and the building has not reached its onsite capacity.


Collecting your visitor badge

If your building uses Android Kiosks with badge printing enabled, a badge will print automatically after you check in.

  1. After confirming your details, you may be prompted to take a photo — this is optional and can be skipped

  2. If a photo is taken, it will appear on your printed badge

  3. Check-in completes as normal — your host is notified automatically

  4. The success screen will display: "Please collect your visitor badge from the printer"

  5. The badge prints silently — simply pick it up from the printer nearby

Checking out at the Kiosk

When you're ready to leave, checking out takes just a few seconds.

Check out via email

  1. Tap Check out on the Kiosk home screen

  2. Enter your email address

  3. Confirm your visit and your check-out is recorded

Check out via QR code

  1. Tap Check out on the Kiosk home screen

  2. Select Check out via QR Code

  3. Hold your phone screen up to the camera

  4. Your visit is closed automatically once the QR code is scanned


Frequently Asked Questions

Do I need the Kadence app to check in?

No — you can check in directly at the Kiosk using your email address. The QR code in your booking email is a convenient shortcut, but it's never required.

Where do I find my QR code?

Your QR code is included in your booking confirmation and reminder emails. It's generated automatically when VMS Kiosks are enabled for your building.

What if my QR code doesn't scan?

If the Kiosk can't read your QR code or no matching booking is found, a "No Results Found" screen will appear. You can retry the scan or switch to email check-in at any time — both get you to the same place.

What happens when I check in?

Your host is automatically notified, and your visit is logged in Kadence for reporting and security purposes.

What if I don't have a booking?

If the building has walk-in check-ins enabled, you'll see a Create booking option after your email search returns no results. You can create a booking on the spot by entering your details and selecting a host. If this option isn't available, please speak to someone at reception.

What happens if a visitor cannot be checked in?

The Kiosk will display a message with guidance on next steps. If you're stuck, a member of the reception team will be able to help.
