How to Register and Pair a Kiosk Device (iPad, Android, or Neat)

Step-by-step guide to registering and pairing a Visitor Management kiosk device with Kadence, separate from badge printer setup.

This guide walks you through registering a kiosk device (iPad, Android tablet, or Neat device) so it can run Kadence Visitor Management. This is a different step from setting up badge printing — you only need badge printing once the kiosk itself is registered and working.


Prerequisites

  • You are a Global Admin or Building Admin in Kadence

  • Visitor Management is enabled for your building

  • The kiosk device is on your workplace Wi‑Fi (not a guest network with client isolation) and is running a current version of the Kadence Visitor Management app


Step 1: Generate a registration link from Kadence

  1. Log in to Kadence as a Global Admin or Building Admin

  2. Navigate to Settings → Visitor Management

  3. Select the building and find the Kiosks section

  4. Click Add Kiosk (or select an existing unregistered kiosk) to generate a registration URL and code


Step 2: Open the registration link in the right place

This is the step that most commonly goes wrong. The registration link is designed to be opened directly on the kiosk device itself, inside the Kadence Visitor Management app — not in a general desktop browser, and not on a different device.

  • iPad / Android: Open the Kadence Visitor Management app on the tablet, choose "Register this device," then enter the code or scan the QR code shown in your Kadence admin settings.

  • Neat kiosk: Open the Kadence Visitor Management app that ships on the Neat device (not the general Neat browser), and follow the in-app registration prompt to enter the code.

If you open the link in a normal browser tab (on the kiosk or on a laptop) while already logged into Kadence, you'll usually be redirected to the regular Kadence homepage instead of completing registration. That redirect is expected — it means the link needs to be completed inside the Visitor Management app itself, not a browser session.


Step 3: Confirm the kiosk shows as registered

  1. Back in Settings → Visitor Management → Kiosks, refresh the page

  2. The kiosk should now show a status of Registered / Online

  3. Test by checking in a guest at the kiosk


Troubleshooting

  • Link keeps redirecting to the Kadence homepage: You're opening it in a standard browser rather than inside the Visitor Management app on the kiosk device. Generate a fresh link and open it from within the app.

  • Registration link expired: Registration links are single-use and time-limited. Generate a new one from Kiosks settings and use it immediately.

  • Kiosk app won't connect: Confirm the device is on the workplace Wi‑Fi network (not a guest network with client isolation) and that the app is updated to the latest version.

  • Ready to set up badge printing? Once the kiosk shows as registered, continue with Visitor Badge Printing — Kadence Configuration.
