Signing Documents as a Visitor

How to sign visitor documents — from your booking email or at the kiosk.

Some buildings ask you to review and sign documents — like an NDA, a liability waiver, or a safety policy — as part of your visit. You can sign from your phone before you arrive, or complete anything outstanding right at the kiosk during check-in.


Signing before you arrive

If you're invited to a building with documents enabled, your booking confirmation email includes a 'Complete your documents before arrival' section with a 'Sign documents' button.

  1. Tap 'Sign documents' in the booking email. The link is personal to you — it shouldn't be forwarded.

  2. Review the document list – The page shows everything to sign for your visit, split into To sign and Signed.

  3. Tap 'View documents' and work through each document — tapping to accept or drawing a signature, depending on how each one is configured.

  4. Done! – Once everything is signed, the page confirms "Thanks — your documents are complete." and a copy of the signed documents is emailed to you.

Your progress is saved automatically. You can sign one document, close your browser, and pick up where you left off later using the same link. The link stays active until 24 hours after your booking ends.

Tip: Signing ahead is optional — anything left unsigned is simply completed at the kiosk on arrival.


Signing at the kiosk

Document signing fits into the normal kiosk check-in — after you find your booking by email or QR code:

  • Already signed everything? Check-in continues with no document steps at all.

  • Something outstanding? The kiosk shows "Visitor documents" with a summary split into To sign and Signed, so you can see what's already done. Tap 'View documents' and sign each outstanding document on the kiosk touchscreen.

  • Previously signed documents that are still valid appear under "Previously signed at this building" with their validity — e.g. "Valid until October 12, 2026" — and don't need signing again.

Once all documents are complete, check-in finishes as normal and you're notified if a badge prints for you. You'll also receive an email with a link to download your signed documents, valid for 30 days.

Documents are required for entry — the kiosk won't complete check-in until they're signed. If you can't sign, speak to reception, who can handle your visit manually.


Walk-in visitors

If a kiosk allows unscheduled visitors, walk-ins sign too. After entering your details and selecting a host, you'll be presented with the building's documents at the kiosk — the same flow as any visitor who hasn't pre-signed. If you're a returning walk-in visitor, you're recognized by your email address, so valid prior signatures are honored just the same.


FAQs

Do I have to sign before I arrive?

No — pre-arrival signing is optional. Anything left unsigned is completed at the kiosk during check-in. Signing ahead just makes arrival faster.

Do I have to sign every time I visit?

That depends on the document — some are signed every visit, some stay valid for a set number of days, and some only need signing again if a new version is published. If a previous signature is still valid, you'll see it listed as already signed instead of being asked again.

Can I skip the documents at the kiosk?

No, documents are required for entry and check-in won't complete until they're signed. If you're unable to sign, speak to reception — they can record the outcome and complete your check-in manually.

How do I get a copy of what I signed?

Once all your documents are signed, you'll automatically receive an email with a download link, valid for 30 days. After that, contact the site you visited if you need another copy.

Does signing at one building cover me at another?

No. Each building has its own documents, so you may be asked to sign again at a different building even if it's a similar document.
