Edit your floor plans with the Archilogic integration

Keep your floor plans accurate without waiting on anyone

With the Archilogic integration you edit your floor plans in Archilogic - adding, moving or removing desks, rooms and pods and more - and Kadence syncs those changes automatically. You review every change as a draft before it goes live, so nothing reaches your employees until you say so.


Before you start

  • The Archilogic integration must be enabled on your account. Depending on your plan this may be included or available as a paid add-on - if you're unsure, speak to your CSM or email [email protected].

  • You need to be a Global Admin to connect the integration and map buildings and floors.

  • You need to be a Global Admin or Building Admin to edit floor plans and activate changes.

  • Your floor plans need to exist in Archilogic. For most customers, your onboarding specialist works with the Archilogic team to digitize and set these up during onboarding - so by the time you're using this feature, your floor plans are usually already connected and live.

  • Archilogic is the editor. Kadence is everything else. All visual changes - walls, desks, rooms, layout - happen in Archilogic. Everything else - space names, neighborhoods, booking rules, assignments - lives in Kadence.


How floor plan versions work

Every floor plan in Kadence has a status:

  • Draft - a new or updated version that only admins can see. This is your safe space to review and fix things before anyone else sees them.

  • Active - the live version your employees see and book from. Only one version can be Active per floor at a time.

  • Archived - a previous version that's been replaced. You can bring an archived version back if you need to roll back.

Anything that comes from Archilogic always lands as a Draft first. It only becomes visible to employees once you activate it.

Building Admins manage floor plans within their own buildings. Global Admins manage them across the whole workspace.


Connect the Archilogic integration

For most customers your onboarding specialist handles this step. If you're connecting the integration yourself, here's how.

First, create an access token in Archilogic:

  1. In Archilogic, click your avatar in the top-right and go to Organization settings.

  2. Open Access Token and click Create Token.

  3. Set the Type to Secret and the Token Name to Kadence.

  4. Tick the required scopes, then click Create.

  5. Copy the token - you'll need it in the next step.

Connect Kadence to Archilogic

Then connect it in Kadence:

  1. Go to Settings then Integrations then Archilogic integration.

  2. Click Add Archilogic and paste in your access token.

  3. Confirm the connection succeeds - you'll see a green Connected status with your access token shown.

You can disconnect at any time from the same screen. Disconnecting pauses syncing but keeps all your spaces, floor plans and bookings exactly as they are. Reconnect with the same token to resume.


Map your Archilogic buildings and floors

Before any floor plan can sync, Kadence needs to know which Archilogic building and floor matches which Kadence building and floor. You only do this once per building and floor.

  1. On the Archilogic integration section, find the Floor Plan Mapping section and click Add more.

  2. In the Building mapping window, match each Archilogic building to the right Kadence building using the dropdowns. Kadence suggests matches based on the building names to save you time.

  3. Click Save mapping.

  4. Repeat the same for floors within each building.

Connected successfully

Any building or floor you don't map is silently skipped - it won't be imported into Kadence and won't raise an error. This is handy when you only want to bring across some of your Archilogic floors.

Once saved, you'll see all your mapped buildings with a count of floors mapped against each. Use the 3-dot menu next to a building to Add / Edit floors, Manage floor plans or Remove the building.

Once you have mapped your buildings, set up the floor-level mapping within each one.

  1. Click the 3-dot menu next to a mapped building and select Add / Edit floors.

  2. In the Floor mapping window, match each Archilogic floor to the correct Kadence floor using the dropdowns.

  3. Click Save mapping.

Any floors you leave unmapped are silently skipped - they won't import and won't raise an error. You can return and add floor mappings at any time.

What happens on first sync

As soon as you save your mapping, Kadence pulls in the mapped floor plans and they land as Drafts. Behind the scenes, Kadence reconciles the spaces:

  • If you're new to Kadence (or already an Archilogic customer), Kadence has no spaces yet, so it creates them all automatically using the names from Archilogic's custom ID field.

  • If you already have spaces in Kadence, Kadence matches the incoming Archilogic spaces to your existing ones by name (using the Custom ID field in Archilogic). Most match automatically - any unmapped spaces are clearly highlighted and can be manually matched.

Sync Archilogic to Kadence

The sync runs in the background, so you're free to move around Kadence while it works. From here, head to the floor plan to review the draft before activating.


Edit a floor plan

This is the heart of the feature - make a change in Archilogic and watch it flow into Kadence for review.

  1. Go to Buildings, open the building, then open the floor you want to edit.

  2. Make sure the Floor plan dropdown shows the version you want to edit, then click Edit floor. The Archilogic editor opens in a new browser tab on the correct floor.

  1. In Archilogic, make your changes - add, move or remove desks, rooms, pods and other spaces. When creating new spaces, if you would like these to have a specific name, e.g. Desk 5.34, then add that name in the Custom ID field in Archilogic. If you've forgotten you can still change it directly in Kadence.

  2. Click Publish in Archilogic.

Tip: Duplicate the current layout in Archilogic first and make your changes there. This keeps a clean copy of the original you can refer back to or restore from.

Within a few seconds, Kadence picks up your changes automatically - no need to refresh or re-import. You'll see a New changes to this floor plan are available - Review changes banner on the floor plan.

  • If you edited the active version of the floor plan then Kadence creates a new Draft alongside it, named "[Floor name] - Updated". Your live floor plan stays exactly as it is until you activate the new one.

    • If you keep making edits before activating, Kadence updates the same Draft rather than piling up extra versions.

Review and fix a draft before going live

Open the Draft version from the Floor plan dropdown or the banner link. You'll see two tabs on the left.

Review tab - lists every space, grouped so you can scan quickly:

  • Unmapped - spaces have no matching shape on the floor plan and show red.

    This usually means spaces were created in Kadence before the integration was set up and the Custom ID in Archilogic doesn't match the space name in Kadence - so no automatic match was found and a duplicate was created instead.


    If your original spaces have existing bookings, unmap the duplicates first then manually map the originals: open the 3-dot menu and select Unmap, then drag the correct Kadence space onto the matching shape on the floor plan. Mapped spaces turn green.

Mapping a space

  • New - spaces freshly created from your latest sync.

  • Removed - spaces that were on the previous version but are missing from this one. Remap them to unmapped spaces to keep their booking history, or delete them if they're no longer needed.

  • Rooms - rooms that are set up with a valid email address and ready to book. Rooms still needing an email appear in the Issues tab instead.

  • Other - spaces that are already mapped and good to go. These show green on the plan.

Map spaces

To unmap or remove lots of spaces at once, tick the checkbox on each space (or the group header to select all), then use Unmap selected or Remove selected at the bottom of the panel. This is the fastest way to clean up after a big redesign.

Issues tab - flags anything that needs resolving before activation, such as rooms without an email address. Each issue carries a warning icon so it's easy to spot.

Add room email addresses now. Rooms sync in but aren't bookable until they have a valid email address. You can add the email while the floor plan is still a Draft, so each room is ready to book the moment you activate.

Preview the impact before you activate

Before you make a draft live, check exactly what will change. Click Preview impact to see a summary of:

  • How many spaces are being added, updated or removed.

  • How many employee and guest bookings will be affected by removed spaces.

You can download a CSV of the detail so you have a full record of what's changing and who's affected.

Tip: Before activating, check the Review tab for unmapped spaces. Unmapped spaces stay bookable in Kadence but won't appear on the floor plan - useful for bookable equipment like projectors, but most customers should remove unintended unmapped spaces before activating.

When you're happy with the draft, click Confirm to activate this floor plan version.

The Draft becomes the Active version, the previous Active version is Archived automatically. Your new floor plan now shows everywhere in Kadence - the Offices view, the New booking flow and Building Settings.


Roll back to a previous version

Activated the wrong version? You can roll back at any time.

  1. Go to the Building Settings and select the Floor Plan Versions tab

  2. Click on the 3-dot menu next to the Archived version and click Restore to make it into a Draft version again.

  3. Click the same 3-dot menu and select Activate

  4. Review the impact summary and confirm.

The draft version becomes Active again and the version you're rolling back from is archived.

Manage your floor plan versions

Each floor lists all its versions on the building settings Floor Plan Versions tab, with status, who last edited it and when it last synced. Use the 3-dot menu on any version to:

  • Activate - make a draft version live.

  • Archive - take a draft out of the way without deleting it.

  • Edit - open that version in the Archilogic editor.

  • Resync floor plan - pull the very latest from Archilogic.

  • Delete - permanently remove a version you no longer need. You can't delete the currently Active version, and deletion can't be undone.

You can also click Resync at the floor level by clicking the Resync icon on the top right to refresh all versions for that floor.


Good to know

  • Sync is one-way. Changes flow from Archilogic into Kadence, not the other way round. Renaming a space in Kadence won't rename it in Archilogic, and activating a version in Kadence won't set it as 'main' in Archilogic.

  • Rooms need an email to be bookable. A room syncs in and appears on the plan, but it can't be booked until you add a valid email address to it - see the Outlook or Google Room setup guide for steps.

  • Unmapped is not deleted. When you unmap a space, it stays in Kadence with all its bookings and settings - it just stops appearing on the plan. Nothing is lost.

  • You can activate with unmapped spaces. That's fine if you have spaces that aren't represented on the plan, like a bookable whiteboard or shared equipment. Unmapped spaces simply won't show on the visual plan.

  • Draft spaces aren't bookable. Spaces that only exist on a draft or archived version aren't bookable and aren't visible to employees until the version they're on is activated.

  • Bulk CSV upload still works for spaces that only exist on a draft floor plan, so you can bulk-edit them before they go live.

  • An Archilogic outage won't take your office offline. Your active floor plans are stored in Kadence and keep working - booking, neighborhoods and assignments all continue as normal. You just can't publish new edits or open the editor until Archilogic is back.


FAQs

I published changes in Archilogic but nothing happened in Kadence. Why?

The most common cause is that the floor isn't mapped. Check Settings then Integrations then Archilogic and confirm the floor is mapped to the right Kadence building and floor. Unmapped floors are skipped silently. If it is mapped, try Resync on that floor plan.

Why have new or duplicate spaces appeared after a sync?

This usually means the space names in Archilogic don't exactly match the names in Kadence, so Kadence couldn't auto-match them and created new ones instead. Name matching is case and whitespace sensitive. Remap the spaces to your existing ones in the Review tab, then bulk-delete any genuine duplicates.

What happens to bookings when a desk is removed from the floor plan?

Nothing happens silently. Before you activate, the impact summary shows exactly how many employee and guest bookings will be canceled, and you can download a CSV for the detail. Affected bookings are only canceled when you activate.

Why is a space showing in red?

Red means the space is unmapped - it isn't currently linked to anything on the floor plan. Map it to the right shape, unmap it if it doesn't belong on the plan, or delete it if it's no longer needed.

Why is my room not bookable even though it's on the plan?

Rooms need a valid email address before they can be booked. Open the room and add its email - ideally while the floor plan is still a draft, so it's bookable the moment you activate.

Can I edit my floor plan directly inside Kadence?

No - all visual editing happens in Archilogic. Use Edit floor to open the Archilogic editor, make your changes there and publish. Kadence handles everything else: spaces, bookings, neighborhoods and assignments.

Can I undo a change after activating?

Yes. Select the previous archived version from the Floor plan dropdown and activate it to roll back. You can also restore an earlier version inside the Archilogic editor's version history and republish it - it'll flow back into Kadence as a new draft.

What if two admins publish from Archilogic at the same time?

Kadence handles them in order - the second sync is queued behind the first, so your mapping state stays consistent.

Do my Kadence changes flow back to Archilogic?

No. Sync is one-way from Archilogic to Kadence in this version. Renaming a space or activating a version in Kadence doesn't change anything in Archilogic.

Can I activate a floor plan that still has unmapped spaces?

Yes. Unmapped spaces stay in Kadence and simply won't appear on the visual plan. This is useful for bookable items that aren't drawn on the floor plan, like equipment or a whiteboard.

Can my Kadence account connect to more than one Archilogic account?

No - one Archilogic account per Kadence workspace. Archilogic accounts are provisioned in either the EU or US region, and we don't support customers operating across both regions at once.

Who sets the integration up in the first place?

Your Kadence onboarding specialist works with the Archilogic team to digitize your floor plans, connect the integration and map your buildings and floors. Once everything's live, you manage ongoing edits yourself using this guide.

What space types does Kadence create from a floor plan sync?

When a floor plan syncs from Archilogic, Kadence creates all six bookable space types:

  • Desks

  • Rooms (meeting rooms)

  • Pods (phone booths / small enclosed spaces)

  • Private offices

  • Parking spots

  • Lockers

Kadence determines the type by reading two things from each Archilogic object:

Furniture items (objects placed on the floor) become desks, pods or lockers based on the furniture category or product name - for example, a "booth" product becomes a pod and a "locker" product becomes a locker.

Enclosed spaces (rooms drawn on the floor with a usage category in Archilogic) become rooms, private offices or parking spots:

  • Meeting room / Training room / Board room / Wellness room → Room

  • Private office → Private office

  • Parking spot → Parking

Key point: Rooms, private offices and parking are driven by the space category in Archilogic. If a space comes into Kadence with the wrong type, or doesn't appear at all, check how that space is labelled in the Archilogic plan first.

Desks, pods and lockers come from the furniture category. Rooms, private offices and parking come from the space's usage label in Archilogic.

How do I add parking spots in Archilogic?

Select the floor in Archilogic, click on Properties.

Select a space and set the Category to Parking spot. Publish to Kadence and it will create a parking space automatically.

What does "Remove selected" actually do - is the space permanently deleted?

It depends. "Remove selected" removes the space from this floor plan version. If the space also exists on another version (active or archived), it stays there and nothing is permanently deleted. If the space only exists on this version, it is permanently deleted from Kadence - including any bookings and settings - so review the impact summary before confirming.

Does bulk CSV upload work for spaces on a draft floor plan?

Yes. Bulk CSV upload works for any space in Kadence, including spaces that only exist on a draft version. This means you can bulk-set names, amenities or other attributes before going live.

If a space exists on multiple floor plan versions, do settings changes apply to all of them?

Yes. Space settings - amenities, neighborhood assignments, booking rules and so on - are stored on the Kadence space itself, not on individual floor plan versions. A change you make to a space on a draft version applies across every version that includes that space.
