How Far in Advance Can Employees Book? (Booking Window vs. Neighborhood Priority Booking)

Two settings control how far ahead people can book — the global resource booking window, and neighborhood priority booking. This guide shows which one to use and how to change it.

There are two different settings that control how far in advance people can book — it's easy to change the wrong one. This guide shows you which one to use.


Option 1: The default booking window (applies to everyone)

Use this if you want to change how far in advance all employees can book a resource type (e.g. "employees can book desks up to 4 weeks out").

  1. Go to Settings → Resources

  2. Use the left-hand menu to select the resource type (Desks, Rooms, Pods, etc.)

  3. Under Single Bookings, find Booking in advance

  4. Choose a window mode:

    • Rolling window — the horizon moves forward one day at a time, so there's always the same fixed number of days bookable ahead

    • Fixed window — set a window length plus a changeover date/time, and the next whole block of days opens up at once on that schedule

  5. Click Save — this applies to all resources of that type

This setting is not configured inside a neighborhood. Each resource type (desks, rooms, pods, etc.) has its own independent booking window, set in Settings → Resources. See Global Resource Settings for the full breakdown of what else you can configure per resource type.


Option 2: Neighborhood priority booking (applies to one neighborhood only)

Use this only if you want specific teams to get earlier access than everyone else for a particular neighborhood (e.g. "the Sales team can book desks in the North Wing 14 days out, but everyone else can only book 3 days out").

  1. Go to Buildings → building → floor

  2. Open (or create) the neighborhood, then go to its Priority Booking settings

  3. Toggle Enable priority booking ON

  4. Assign the priority team(s) and the days they get early access

  5. Under Set Booking Access for Others, enter how many days before the booking date non-priority users can book

This only overrides timing for resources inside that one neighborhood, and only takes effect once priority booking is turned on. It does not change the default booking window used everywhere else. See How to Create and Configure Neighborhoods for full steps.
