This guide walks you through how to interpret color coding, padlock icons, and messaging across Kadence, so you always know what you can book and why.
You’ll now see:
Consistent color codes across views
Padlock icons to indicate restriction types
Tooltip and sidebar messages that explain availability based on your role
Whether you're an employee trying to book a desk or a Global Admin managing access, you'll always know where you stand.
What do the padlocks icons mean?
Icon | Meaning |
---|---|
🔒 Closed Padlock | You can’t book this space |
🔓 Open Padlock | You can override the restriction (Admins & Coordinators only) |
🔒 Greyed-Out & Padlock | This space is fully blocked—nobody can book it |
Why do some assigned spaces show a padlock on the floor plan while others don’t?
The padlock icon indicates a restricted space that other users cannot book.
If a space is set to ‘Restricted’ and ‘Make public on unassigned days’ is enabled, the padlock won’t appear. This is because the space becomes available for others to book when no booking is present.
If a space is set to ‘Restricted’ and ‘Make public on unassigned days’ is disabled, the padlock will appear to signal that the space is off-limits to others, even when there is no booking.

Why can I see who a space is assigned to only on certain days?
You’ll only see the assigned person’s name on the days they’re actually assigned to the space. If a space is unassigned on a given day, no name will be shown.
