Manage Self-Certification Policies

Self-certification policies allow you to prompt employees to confirm compliance with company or building-specific guidelines before checking in to a booking.

These policies are commonly used for health and safety requirements, building rules, or compliance reminders, but are fully customizable to suit your organization’s needs. A single self-certification policy can be applied to one or multiple buildings.


Prerequisites

  • You must be a Global Admin in Kadence


What Is a Self-Certification Policy?

A self-certification policy requires users to acknowledge a message or confirm compliance within a defined time window before their booking begins.

Key characteristics:

  • Policies are customizable per organization

  • One policy can apply to multiple buildings

  • Users self-certify digitally within Kadence

  • Users only need to self-certify once per building per day


Create a Self-Certification Policy

To create a self-certification policy:

  • Log in to Kadence

  • Navigate to Settings

  • Select Policies

  • Under Self-certification, click Add policy

A new form will appear. Complete the following fields:

  • Policy name

  • Building(s) the policy applies to

  • Self-certification message or instructions shown to users

  • Policy URL (optional) linking to full documentation or a questionnaire

  • Self-certification checkbox text users must confirm

  • Time window allowing staff to self-certify before check-in

  • Toggle Prevent check-in if the employee has not self-certified if self-certification should be mandatory

  • Use Preview to see how the policy will appear to users.

  • Once complete, click Add policy.


How Self-Certification Works for Users

  • Users are prompted to self-certify within the configured time window before their booking starts

  • If required, users cannot check in until they have self-certified

  • Self-certification applies per building, per day

  • Once certified, users are not prompted again for that building on the same day


Managing and Updating Policies

  • Policies can be edited or disabled at any time from Settings > Policies > Self-certification

  • Changes apply immediately to future bookings

  • Existing check-ins will follow the updated rules once the policy is saved
