Manage Workplace Safety Documentation

Workplace Safety Documentation helps organizations manage health and safety requirements for employees, such as vaccination or compliance documents

Originally introduced during COVID, this feature allows admins to review uploaded documents and optionally restrict building access for users who are not approved.

When enabled, employees may be required to upload documentation before they can book into specific buildings.


Prerequisites

  • You must be a Global Admin in Kadence


Enable Workplace Safety Documentation

To enable workplace safety documentation:

  • Log in to Kadence

  • Navigate to Settings

  • Select Policies

  • Scroll down to Vaccination Status

  • Toggle on Capture proof of vaccination

  • Select the building(s) where unapproved users should be prevented from booking

  • Click Confirm

Once enabled, Kadence will enforce booking restrictions for the selected buildings.


How Building Restrictions Work

  • Users without approved documentation will not be able to book in restricted buildings

  • Users with documents that are pending review or denied are also blocked from booking in those buildings

  • Approved users can book as normal


Assign Workplace Safety Admins

In addition to Global Admins, specific users can be granted access to manage workplace safety documentation.

To assign a Workplace Safety Admin:

  • Navigate to Directory

  • Open a user's profile

  • Under the Role field, tick Workplace Safety Admin on or off

  • Click Save

Users with this role can review, approve, and reject uploaded safety documents by users through the Workplace Security section of user profiles.

Any role type, including Employee users, can be assigned as a workplace safety admin.


Reviewing Workplace Safety Documents

Once workplace safety is enabled, a new Workplace Safety tab appears on user profiles.

Workplace Safety Admins can:

  • View documents uploaded by users

  • See document status (Pending, Approved, Rejected)

  • Approve or reject documents

  • See who reviewed the document and when

Approved and rejected actions are logged against the document for audit purposes.


User Experience

  • Users can upload documents at any time from their profile

  • Users can delete and re-upload documents freely

  • Users are notified when:

    • A document is uploaded

    • A document is approved

    • A document is rejected

If a document is rejected or under review, the user will be blocked from booking into restricted buildings until approval is granted.
