Add Arrival Instructions for Guests

Arrival instructions help guests understand exactly what to do when they arrive at your building

These instructions are configured per building and are automatically included in every visitor email sent through Kadence, ensuring a smooth and consistent guest experience.


Prerequisites

Before adding arrival instructions, make sure that:


Add Arrival Instructions to a Building

To add or update guest arrival instructions:

  1. Log in to Kadence

  2. Navigate to Buildings from the left-hand menu

  3. Click the three vertical dots (⋮) next to a building

  4. Select Edit building

  5. Click Settings from the top menu

  6. Select Guests under Arrival Instructions

  7. Enter your arrival message in the text field

    • Example instructions:

      • Where to check in at reception

      • Which floor or desk to go to

      • Who to contact on arrival

      • Any access or security requirements

  8. Click Save

Once saved:

  • The instructions are included in all guest emails for that building

  • Guests will see them in:

    • Invitation emails

    • Reminder emails

    • Any follow-up communication related to their visit

Each building can have unique instructions, making it easy to tailor the experience for different offices or locations.
