Enable Visitor Management (VMS)

Invite external guests to your buildings using Kadence

Prerequisites

Before getting started, make sure that:

  • You are a Global Admin in Kadence


Add Branding to Visitor Emails

You can brand all visitor emails with your company logo.

To add branding:

  1. Log in to Kadence

  2. Navigate to Settings (bottom-left corner)

  3. Select Visitor management from the top menu

  4. Click Upload logo

  5. Upload your company logo

    Upload company logo for visitors

Your logo will appear on all guest emails sent through Kadence.

Use a clear, high-resolution logo with a transparent background for the best appearance across email clients.


Test Visitor Emails

Before inviting real guests, we recommend sending yourself a test email to preview the experience.

To send a test email:

  1. Ensure a logo has been uploaded

  2. Click Send test email

  3. Check your inbox and review:

    • Logo placement

    • Email layout and formatting

This helps confirm everything is set up correctly before rolling VMS out to your organization.


Enable Visitor Management

  1. Log in to Kadence

  2. Navigate to Settings (bottom-left corner)

  3. Select Visitor management from the top menu

  4. Toggle Enable visitor management to On

    Enable visitor management

Once enabled, you’ll be able to invite guests to your buildings and send visitor emails from Kadence.


What’s Next?

Once Visitor Management is enabled, you can:

Arrival instructions are configured per building, not globally.
