Getting Started with SpaceOps (Beta)

Whether you're planning an office restack or preparing for organisational change, SpaceOps helps you make smarter space decisions.

SpaceOps is a visual, interactive, AI-powered planning tool designed to help you reimagine and optimise your workplace layout — from reassigning floors and relocating teams to modelling future headcount scenarios.


Accessing SpaceOps

SpaceOps is a paid add-on. If you don’t see it in your navigation menu, contact your CX representative or [email protected] to request access or book a demo.

If enabled for your organisation, you’ll see SpaceOps in the left-hand menu.

SpaceOps is available to:

  • Global Admins

  • Building Admins

  • Coordinators

  • Team Managers

From the SpaceOps dashboard, you can:

  • Create new Stack Plans#

  • View existing Stack Plans

  • Edit or delete Plans


Create Your Stack Plan

Create a new plan by clicking Create new.

Step 1: Choose Your Building

Start by giving your stack plan a clear name and selecting the building you want to model.

Changes made in SpaceOps do not affect your live building setup in Kadence.

This is a planning environment only.

Once selected, you can:

  • Edit the number of resources per floor

  • Close existing floors

  • Add new floors

  • Explore layout changes without impacting live data

Click Next to continue.


Step 2: Set Up Your Teams

This step models your hybrid policy and team behaviour — whether you operate office-first, flexible, or hybrid.

SpaceOps uses AI and real booking data to help guide decisions and reduce guesswork.

Here’s how:

  1. Streamline Your Team List
    Automatically remove inactive teams based on booking history.

  2. Right-Size Teams
    AI calculates how many team members actively visit the selected office. You can manually adjust numbers if you're planning for hiring or growth.

  3. Predict In-Office Days
    AI suggests how often each team typically comes in. You can override this to reflect policy changes or future expectations.

You can also:

  • Lock teams with fixed headcount or fixed in-office days

  • Manually adjust any values

  • Plan for future growth scenarios

When you’re ready, click Next to build your stack. You can still make changes later.


Step 3: Build Your Stack

This is where your stack plan comes to life.

Kadence AI automatically assigns teams to floors using booking data, capacity, and policy assumptions — balancing collaboration and space efficiency.

You’ll see a visual layout showing:

  • Team placements

  • Floor capacity

  • Gaps or overflow

  • Overall utilisation

You remain fully in control.

You can:

  • Drag and drop teams between floors

  • Edit team size, in-office days, or required workpoints

  • Split teams across multiple floors

  • Lock specific teams or floors while re-optimising others

  • Close floors to simulate reduced capacity

  • Use Undo/Redo to test different scenarios

This allows you to explore multiple restack options before making decisions.


Step 4: Export and Share

Once your plan is finalised, click Export to download a polished PDF version of your stack plan.

This is ideal for:

  • Leadership presentations

  • Stakeholder reviews

  • Real estate planning discussions

Export functionality may not be included in the initial beta release.
