Enable Preferred Desks

How to enable, disable, and manage Preferred Desk for your organization.

Preferred Desk lets employees pin up to three favorite desks so they appear at the top of the list whenever they book. Employees can set them manually, or Kadence will learn them automatically from booking history.

Enable or disable Preferred Desk

Preferred Desk is on by default, with nothing to configure. The only admin decision is whether to leave it on (recommended for most organizations) or turn it off:

  1. Go to Settings > Resources > Desks.

  2. Find the Preferred desk section and use the 'Enable preferred desks for all users' toggle.

When disabled: preferred desks stop appearing in the booking flow, Kadence stops learning preferences, and the profile section is hidden. Existing preference data is retained — switching it back on restores everything.

Note: Consider turning Preferred Desk off if your organization runs hot-desking rotation policies that discourage repeat bookings — surfacing favorite desks alongside that policy can send a mixed message.

Preferred Desk is entirely employee-owned — there's no admin tooling for viewing or managing anyone else's preferences.


FAQs

Why don't my employees see Preferred Desk?

Check that the toggle at Settings > Resources > Desks is on. If it's already on, an employee will see it once they've made 10 self-placed desk bookings, or they can set their own preferred desks manually right away.

Can admins see or manage an employee's preferred desks?

No. Preferred Desk is entirely employee-owned. The only admin control is the organization-level on/off toggle.

Does this apply to meeting rooms?

No — Preferred Desk covers desks only.

If we turn it off and back on later, is preference data lost?

No. Existing preference data is retained while the feature is disabled, and it's restored automatically when you turn it back on.
