Using Preferred Desks

Book your favorite desks faster — set them yourself or let Kadence learn them for you.

Preferred Desk lets you pin up to three favorite desks so they appear at the top of the list whenever you book a desk. Set them yourself in a couple of clicks, or let Kadence learn them automatically from your booking history.

Preferred Desk is on by default. If you don't see it in your account, ask your Global Admin — it can be turned off at the organization level.


How Kadence learns your preferred desks

You don't have to do anything. After your 10th desk booking, Kadence looks at where you've actually been sitting, sets your most-booked building as your preferred building, and picks up to three of your most-booked desks as your preferred desks. From then on, it keeps your suggestions fresh using your last 30 days of bookings.

A few things to know:

  • Only bookings you make yourself count — bookings made for you by a colleague, or desks assigned to you automatically, don't influence your preferences.

  • Suggestions are never cleared just because you haven't booked in a while — a vacation won't reset them.

  • Desks you pick manually are never changed by Kadence.


Set your preferred desks manually

You can choose your own desks at any time — no booking history needed.

  1. Click your profile icon and go to My account > Settings.

  2. Under Preferred workspace, choose your building and floor.

  3. Under Preferred Desk, click 'Manage preferred desk'.

  4. On the Preferred desk page, find desks by searching by name, or pick them straight from the floor plan. Use the floor and amenities dropdowns to narrow things down.

  5. Select up to 3 desks — they can be on different floors, as long as they're in your preferred building. Drag to reorder, or remove one with the 'x'.

  6. Click 'Save' — you'll see a confirmation, and your chosen desks are listed in your settings from now on.

Tip: You can also jump to this page right after booking — the success screen has a 'Manage preferred spaces' button.


Remove a suggested desk

If Kadence suggests a desk you don't want, remove it with the 'x' — the slot stays empty and Kadence won't suggest that desk again. Changed your mind? Use undo on the empty slot to reopen it for suggestions, or fill it with a desk of your own.


What you'll see when booking

  • When you select a floor, any of your preferred desks on that floor appear in their own group at the top of the desk list, marked with a pin icon.

  • The same pin icon marks your preferred desks on the floor plan — in the booking flow and in Live Office.

  • If someone beat you to a preferred desk, it still shows at the top, grayed out with a 'Booked' pill.

  • If a preferred desk can't be booked for another reason (it's closed, or access changed), it shows as Unavailable — often that's temporary, so it stays in your list unless you swap it.

  • No preferred desks on the floor you picked? The list looks exactly as it always has.


Change your preferred building

Your preferred desks live in one building. If you change your preferred building in My account > Settings, all your preferred desks are cleared — you'll see a confirmation dialog before anything happens. After that, pick new desks right away or let Kadence learn from your next bookings.


FAQs

How many bookings before Kadence suggests desks for me?

Ten desk bookings that you placed yourself. Bookings made on your behalf and auto-assigned desks don't count. You don't need to wait, though — you can set your own desks at any time.

Can my preferred desks be on different floors?

Yes — anywhere within your preferred building. Each desk surfaces when you're booking on its floor.

Why is one of my preferred desks showing as Unavailable?

You can't book it right now — it may be temporarily closed, or your access may have changed. Since it might come back, Kadence leaves it in your list. If you know it's gone for good, swap it from Manage preferred desk.

One of my preferred desks disappeared from my list.

That happens only when the desk has been removed from the floor plan entirely — the slot reopens for a new pick or suggestion. If you changed your preferred building, that also clears your desks (after a confirmation).

Will I get emails about my preferred desks?

No. Everything happens in the app — if a desk becomes unbookable you'll see it marked Unavailable next time you book.

Can my admin or manager see my preferred desks?

No. Your preferences are yours alone — the only admin control is turning the feature on or off for the whole organization.

What if someone books my preferred desk first?

First come, first served — you'll see it grayed out with a 'Booked' pill at the top of your list, and you can pick another desk as usual.

Does this work for meeting rooms?

No — Preferred Desk covers desks only.
