The Kadence Agent is a lightweight desktop app that helps you check in to your bookings automatically or manually, without needing to open the Kadence web app each time. Once installed, you can view your bookings for the day and check in with just a click.
Install the Kadence Agent
To install the Kadence Agent:
Click your profile picture in the top-right corner of Kadence
From the menu, click Kadence Agent
You’ll be taken to a download page where you can choose the Windows or Mac version
Download the file and follow the on-screen instructions on your device to complete installation
Once installed, you’ll see a small Kadence icon in your system tray (near the clock on Windows or in the menu bar on Mac).
Sign In to the Kadence Agent
You only need to sign in once. After that, the Kadence Agent will stay signed in unless you manually log out, or stay inactive for over 28 days.
Kadence Agent may require you to log back in if your application has been updated by your IT team remotely.
To sign in:
Click the Kadence icon in your system tray
Select Sign in to Kadence
You’ll be redirected to the Kadence web app to log in
After signing in, you’ll see a confirmation screen letting you know the login was successful
Once signed in, you can start using the Kadence Agent immediately.
For some users, Kadence Agent may not open right away once you have logged in. Click the "Open Kadence Agent" text above to force the application to open.
View and Check In to Your Bookings
The Kadence Agent shows all of your bookings for the current day.
If you have multiple bookings, use the left and right arrows to move between them
If you don’t have a booking today, the app will let you know and give you the option to make one
Clicking Make booking opens the Kadence web app
Manual Check-In
To manually check in to a booking:
Click the Kadence icon in your system tray
Navigate to the booking you want to check in to
Click Check in
The Kadence Agent will only allow check-in once your booking starts unless early check-in is enabled in your company’s settings.
Automatic Check-In
Some companies enable automatic check-in using the Kadence Agent.
If automatic check-in is enabled for your building:
You’ll be checked in automatically when your device connects to your building’s Wi-Fi
No manual action is required
How it works:
Kadence checks whether you have an active booking
It verifies that your device’s network matches your building’s network
If a match is found, you’re automatically checked in
Automatic check-in is only supported for:
Desk bookings
Onsite bookings
Private office bookings
Rooms, pods, lockers, and parking bookings must still be checked in manually.
If you’re unsure whether automatic check-in is enabled, check with your Kadence administrator.
