Manage Your Profile

Your profile helps Kadence tailor the experience to you.

This article shows you how to manage your personal profile in Kadence. From updating your details and working hours to controlling notifications and privacy settings.

Keeping your profile up to date ensures bookings default correctly, notifications are relevant, and your colleagues can coordinate with you more easily.


Edit Your Personal Details

You can update most of your personal information directly from your profile.

To edit your personal details:

  • Click your profile picture or initials in the top-right corner of Kadence

  • Select Profile

    My Profile

From here, you can update:

  • Profile picture

  • First and last name

  • Job title

  • Default weekly Kadence (office, remote, or not working)

  • Default working hours

  • Biography

If your account is synced from your company directory, you may not be able to edit your name or job title. For help updating these details, reach out to your Global Admin(s).

When you’re done, click Save in the bottom-right corner.


Set Your Working Hours

Your working hours control the default start and end times when you make bookings in Kadence.

When you set working hours:

  • New bookings will automatically match your schedule

  • Existing recurring bookings will update automatically

  • You don’t need to edit bookings manually

To update your working hours:

  • Click your profile picture

  • Select Profile

  • Under Kadence, find Working hours

  • Click Change

  • Set your preferred hours

  • Choose whether your colleagues can see your working hours

  • Click Update

Manage Your Preferences

Your profile settings help Kadence personalize your booking experience.

To update preferences:

  • Click your profile picture

  • Select Settings

From here, you can:

  • Control your notifications

  • Set a preferred building and floor

    • This will be pre-selected whenever you make a new booking

  • Choose your preferred language

  • Select your preferred time format

Click Save to apply your changes.


Control Your Notifications

Kadence lets you control which notifications you receive so you’re only alerted about what matters to you.

You can turn email and instant messenger notifications on or off for:

  • Booking notifications

  • Starred colleague notifications

  • Announcement notifications

    Manage notifications

Instant messenger notifications will only appear if your company has Microsoft Teams or Slack integrated.

Push notifications can only be enabled or disabled through the Kadence mobile app.

Click Save when you’re finished.


Manage Star Requests and Privacy

Starred colleagues help teams coordinate office days, but you stay in control of your privacy.

Choose Who Can Star You

To manage starred colleague settings:

  • Click your profile picture or initials

  • Select Profile

  • Click Privacy

You can choose to:

  • Disallow anyone from starring you

  • Require colleagues to request to star you

  • Allow anyone to star you

If your company enforces a starred colleague policy, you may not be able to override it.

If you remove someone who has starred you, they will not be notified.


Review Star Requests

You can approve, ignore, or remove star requests at any time.

To manage star requests:

  • Click your profile picture or initials

  • Select Profile

  • Click Starred Me

From here, you can:

  • See who has starred you

  • Approve or ignore pending requests

  • Remove approved starred colleagues

Use Incognito Mode

Incognito Mode allows you to hide your activity from other users in Kadence.

When Incognito Mode is enabled, others won’t be able to:

  • See your details on office floorplans

  • See your bookings in team views

  • View your bookings or weekly Kadence on your profile

  • Star you as a colleague

Anyone who previously starred you will no longer see you in their starred list.

To turn Incognito Mode on or off:

  • Click your profile picture or initials

  • Select Profile

  • Click Privacy

  • Toggle Incognito Mode on or off

Changes are saved automatically and apply instantly.

Your profile is the foundation of your Kadence experience. Keeping it updated helps ensure smoother bookings, better coordination with colleagues, and notifications that work for you.
